Online appointment booking from customer conversations

On your booking page the customer picks a moment themselves. What they see isn't a separate calendar: for every slot Cuego checks which tables, rooms or treatment places are still free at that time.

Every place has a capacity. Someone asking for a table for two gets the smallest table that fits, not the one for six. That keeps the large places free for the groups that ask for them later, without you shuffling things around yourself.

You lay out your venue or practice as a floor plan, with the places where they actually are. That isn't decoration: it is what the availability is calculated from.

For one business a booking is a table, for another a forty-minute treatment with a specific colleague. Per service you set the duration, the price and a photo, and who is allowed to perform it.

Link a service to certain staff and the page only offers moments when they are working and don't already have another appointment. So a customer cannot book with someone who is off.

After booking, the customer gets a confirmation straight away. A day before the appointment a reminder follows, sent by a job that checks every fifteen minutes which bookings are due.

Per booking it's recorded that the reminder went out. A customer who gets the same message twice will call to ask whether they're now booked twice, and that is exactly the contact the reminder was meant to prevent.

Both mails go out under your name and in your own house style, with the booking details in them.

When someone calls or emails about their booking, whoever picks up doesn't have to search a second system. The booking hangs on the same customer as their conversations and orders.

That is also why a change doesn't have to be entered twice. Whoever moves the booking moves it in the same place the conversation about it is happening.
