Knowledge base software your team and your customers both use
Most knowledge bases get filled once and forgotten. What helps is a source used during the work, which shows you which questions still have no article.
Cuego AI agent
- Understand the questionWhat is this about and what does the customer really want to know.
- Gather contextOrder, customer data and earlier conversations from your own systems.
- Prepare the answerAn answer that holds up, with the follow-up action included.
- Get it doneReturn filed, ticket updated, queued for your approval.

A knowledge base rarely decays all at once. The return policy changes and the article doesn't. A carrier is added and the delivery page still names one. After six months there's information that's partly right, and for a customer that's harder than information clearly missing.
The reason it happens is nearly always the same: the knowledge base stands apart from the work. Whoever types an answer doesn't look in it, and whoever maintains it doesn't hear the questions. In Cuego the knowledge base is the source your colleagues draw on during a conversation and the one the AI agent answers from. A question without an article therefore shows up as a gap.
The situation
Why knowledge bases go quiet
Nobody owns an article, so a changed policy never makes it in.
What's in it contradicts the product page, and the customer can find both.
Agents copy their answers from old emails, because searching the knowledge base takes longer.
How it works in practice
With that context in place, this is what the next step looks like.
Used during the conversation
Your team searches the knowledge base from the ticket, without opening a second system. What's found goes straight into the answer.
Source for the AI agent
The AI answers only from your own articles and policy. If it isn't in there, that's said rather than invented.
Gaps announce themselves
When a question arrives for which no article exists, that's visible. Your knowledge base then grows where customers miss it.
What you do with it
Internal source and customer version
What your team needs to know and what your customer needs to know are two things. Both are there, separated, from the same admin environment.
Help centre on your own address
The customer version can sit online as a help centre, so part of the questions never has to arrive as contact.
Searching on meaning
An agent searching "parcel lost" finds the article about missing shipments, even if those words aren't in it.
Multilingual
Articles can exist in several languages, so a German customer gets the same answer as a Dutch one.
Owner and review date
Per article you record who maintains it and when it should be reviewed, so decay becomes visible before a customer trips over it.
Visible what gets used
Which articles lead to answers and which are never opened, so you know where maintenance pays off.
From context to result
What it delivers
What bringing context and action together means in practice.
The knowledge base is the source Cuego answers from, so an outdated return policy stands out. Questions with no answer in it appear as gaps in a list, with how often they were asked.
Articles can stay internal or be published on your own help domain.
One source for team and AI
the same articles, no separate AI knowledge
Gaps with frequency
questions without an article appear in a list, with how often they were asked
Internal or on your help domain
per article you decide who may read it
FAQ
Frequently asked questions
Knowledge base software is the system where you record the answers to recurring questions: policy, procedures, product information and exceptions. It usually serves two readers, your customer searching on their own and your agent or AI pulling an answer from it, and that dual audience determines how you write the articles.
The terms behind this
What the terms on this page actually mean, with the calculation and where they mislead in practice.
Knowledge base
A knowledge base is the recorded version of what your team knows. Without an owner and a rhythm it's partly wrong within six months.
AI agent
An AI agent understands a question in plain language, looks up information in your systems and carries out the action behind it. That's something other than a chatbot with choice buttons.
First Contact Resolution
First Contact Resolution is the percentage of questions finished in one go. Of all customer service numbers, this is the one that predicts the most work.
